The Body Odyssey Tattoos, Piercings & More!, operated by The Body Odyssey LLC ("we," "us," or "our"), respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have when you visit www.TheBodyOdysseyArts.com, book an appointment, or receive services at our studio in Hendersonville, Tennessee USA. 
 

1. Information We Collect: 

We collect only the information necessary to provide our services and communicate with you about your appointments. This includes: 

  • Contact information: Your name, email address, date of birth, and mobile phone number. 

  • Appointment information: Date, time, service requested, tattoo design details, size, body placement, any photos you choose to share, piercing details, location and/or minor information for piercings. 

  • Health-related information you voluntarily disclose: Allergies, medications, or medical conditions you share so we can perform your service safely. 

  • Identification verification: We visually verify/photograph/photocopy your government-issued photo ID at the time of your tattoo / piercing service. If you are having your Minor pierced, we will also visually verify/photograph/photocopy the Minor’s birth certificate and/or legal guardian paperwork. 

  • Payment information: Payments are processed in-person or through secure third-party payment processors. We do not store any credit card information. Returns, refunds or exchanges are not allowed at any time, for any reason. 

  • Website analytics: Basic non-identifying data such as pages visited and general device information, used to improve our website. 

 

2. How We Use Your Information: 

We use the information we collect for the following purposes only: 

  • To schedule, confirm, and manage your tattoo / piercing appointments. 

  • To send you appointment confirmations, reminders, aftercare instructions, birthday coupons,  promotions, newsletters, special event updates, etc via SMS, email, or phone. 

  • To respond to your inquiries, deposits, scheduling and rescheduling requests. 

  • To safely perform your tattoo / piercing based on any health information you disclose. 

  • To process payments for services rendered. 

  • To comply with the state of Tennessee health, services, and business regulations. 

We do not use your information for any purpose un-related to your visit, appointment or service. 

 

3. SMS / Text Messaging / Emails: 

By providing your mobile number and/or email address, we will send you transactional SMS / Email messages related to your visit / tattoo / piercing service(s). 

  • Types of messages: Appointment confirmations, reminders, deposit and booking confirmations, review requests, aftercare follow-up messages, and birthday / special event promotions. 

  • Message frequency: Varies based on your appointment activity (typically 1–4 messages per booking). 

  • Cost: Message and data rates may apply based on your mobile carrier plan. 

  • Opt out: You can opt out at any time by replying STOP to any text message you receive. 

  • No sharing: Mobile information, SMS opt-in data, email address, and consent will not be shared with third parties or affiliates for marketing or promotional purposes. This information will only be shared with service providers strictly necessary to deliver the SMS / email service (e.g., our messaging platform). 

 

4. How We Share Your Information: 

We do not sell, rent, or trade your personal information. We only share information in the following limited circumstances: 

  • Service providers: Trusted third-party services we use to operate our business — such as our appointment scheduling platform, SMS/messaging provider, and payment processor — under strict confidentiality and only as needed to provide their service to us. 

  • Legal obligations: When required by law, court order, or to comply with Tennessee health and safety regulations. 

  • Business protection: To protect our rights, property, staff, or customers when we believe it is reasonably necessary. 

 

5. Health Information Confidentiality: 

Any health-related information you disclose (allergies, medications, medical conditions) is used solely to ensure your tattoo / piercing is performed safely. We treat this information confidentially and do not share it outside our studio except as required by law or in a medical emergency.

We take reasonable measures to protect your personal information from unauthorized access, loss, or misuse. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security. 

 

7. Data Retention: 

We retain your contact and appointment information for as long as necessary to provide our services, maintain client records, and comply with legal requirements. You may request deletion of your information at any time by contacting us using the information below, subject to any records we are legally required to keep. 

 

8. Your Rights & Choices: 

You have the right to: 

  • Request a copy of the personal information we hold about you. 

  • Request that we correct inaccurate information. 

  • Request that we delete your information. (subject to legal record-keeping requirements) 

  • Opt out of SMS messages at any time by replying STOP. 

  • Opt out of email messages at any time by replying UNSUBSCRIBE to the email. 

  • Withdraw consent for non-essential communications.

*Please be aware that if you decide to opt out of both text & email communications, then we will remove your entire account from our database as that means you no longer want to set up appointments or hear from us. 

 

9. Children's Privacy: 

Our Piercing services are available to individuals under the age of 18. We secure their information under the legal adult guardian’s account. In order to stay compliant with the Tennessee piercing laws, we must retain their information, including their name, date of birth, photo ID, birth certificate, and/or legal guardian paperwork for a minimum of 3 years. 

 

10. Cookies & Website Tracking: 

Our website may contain links to third-party sites (such as social media profiles). We are not responsible for the privacy practices or content of those external sites. We encourage you to read their privacy policies before providing them with any personal information. 

 

11. Third-Party Links: 

These Terms are governed by the laws of the State of Tennessee, without regard to its conflict of law principles.
